Terms & Booking Policy

The rules for booking a session — deposits, cancellations, and what happens when life gets in the way. Written to be read, not to hide behind.

What you are booking

A session runs 2.5 hours, with all equipment and materials included. Private in-person campaigns are hosted across York and Durham Region; online sessions run anywhere. Programs for schools, community groups and therapeutic settings are quoted individually and begin with a connection call.

Deposits

A 25% deposit secures your date. The date is not held until the deposit is received — enquiring alone does not reserve a slot.

Paying the balance

Once your date is confirmed, an invoice for the remaining balance is emailed to you. It can be paid by card using the secure link on the invoice, or by Interac e-Transfer if you prefer.

The balance is due before your session begins, unless something else is agreed in writing.

Prices and tax

All prices are in Canadian dollars. HST is not currently charged. If that changes, you will be told before your next booking and existing confirmed bookings will be honoured at the price agreed.

Payment processing is handled by Stripe. Card details are never held by Roll with Guidance.

If you need to cancel or reschedule

Please give at least 48 hours' notice. Each session is prepared well in advance, so cancellations inside the 48-hour window may forfeit the deposit.

With enough notice, a session can be moved to another available date at no extra cost.

If the Game Master needs to reschedule

Life happens on this end too. Where a session has to move, as much notice as possible will be given, and you will be offered either a make-up session on a later date or a session credit applied to your next booking. To keep logistics sustainable, cash refunds are not provided for rescheduled sessions.

Safety at the table

Every game uses a Session Zero to agree tone and boundaries, Lines and Veils to set what stays off the table, and the X-Card so anyone can pause or edit a scene at any time, without explanation.

Behaviour that makes the table unsafe for other players ends the session. In that case the deposit is not refunded.

Players under 18

A parent, guardian or the booking organisation must make the booking, agree to these terms, and remain contactable for the duration of the session. Please share any accessibility or safety consideration in advance so the session can be planned around it.

Responsibility

Roll with Guidance provides a hosted tabletop roleplaying experience and takes reasonable care in delivering it. It is not a substitute for therapy, medical care, or professional educational assessment, including where sessions are run in therapeutic or classroom settings and designed alongside those professionals.

Liability in connection with a booking is limited to the amount paid for that booking.

Governing law

These terms are governed by the laws of the Province of Ontario and the applicable laws of Canada.
